Administrative Assistant

Position Overview: Berman Hebrew Academy seeks a detail-oriented and highly organized Administrative Assistant to support a variety of administrative functions within the Business Office. This position provides essential administrative support across departments including Marketing, Admissions, Finance, Transportation, Lunch, and Development. The ideal candidate will thrive in a dynamic environment, effectively managing multiple tasks and priorities.

Salary Range: $50,000 – $55,000

Reports To: Director of Institutional Advancement

Primary Responsibilities:

Reception:

  • Greet and assist students, staff, and visitors.
  • Manage incoming calls, voicemail, and paging systems.
  • Order, distribute, and manage inventory of business office supplies.
  • Manage EZ School Apps lunch system, including money collection and daily kitchen tallies.
  • General clerical support as needed including collating and preparing mass mailings. 

Mail Management:

  • Distribute incoming mail, packages, flyers, and notices.
  • Post outgoing mail.
  • Handle lost and found items, coordinating returns as appropriate.

Arrival and Dismissal Coordination:

  • Serve as primary contact for transportation staff, buses, and parents regarding transportation changes.
  • Monitor and Manage carpool and bus dismissal changes.
  • Remain onsite until all students have safely departed, managing late pick-up situations.

Security and Emergency Response:

  • Provide basic first aid and administer medications when the nurse is unavailable.
  • Assist with emergency protocols, including fire drills, lockdown drills, and actual emergency situations.

 

Facilities Management:

  • Maintain and manage room reservation calendar.
  • Coordinate with the Director of Facilities for security arrangements and resolve space usage conflicts.
  • Assist with facility rentals under direction of Institutional Development.

Communication and Email Management:

  • Help Marketing Director maintain and update email distribution lists (IT, alumni, alumni parents, grandparents, Campaign Monitor, shul, and school lists).

Development Support:

  • Input donations into donor management software.
  • Compile thank-you letters and tax documentation for donors.
  • Assist with fundraising activities including the Happy Purim mishloach manot campaign.

Software Platform Support: Assist and maintain various software systems, including but not limited to:

  • Blackbaud
  • EZ School Apps Lunch Program
  • Alert Media
  • GiveSmart (fundraising software)
  • HappyPurim.com
  • Google Calendar
  • School Pass

Qualifications:

  • Proven administrative or clerical experience.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize effectively.
  • Familiarity with software platforms listed above preferred but not mandatory; training provided as necessary.
  • Basic first aid certification or willingness to obtain certification.
